Loading Memo overview

लोडिंग मेमो क्या है — A document that groups unbilled LRs (बिल्टी) for one vehicle into a single loading sheet for the gate, driver, or warehouse. It is not an Invoice and not a Collection Memo — billed trips cannot join a Loading Memo.

Open Loading Memo in app

Use Loading Memo when you need one printed sheet for a truck that already has several open LRs — for example loading at a godown, handing over to a driver, or checking packages and weight before the vehicle leaves.

Do not use it instead of an Invoice (billing) or Collection Memo (party collections).

  • Search bar — type memo no, vehicle number, or from/to location to filter the list
  • Month dropdown — All Months, This Month, Last Month, Last 3/6 Months, or Custom date range
  • Sort by memo date checkbox — reorder cards by memo date (optional)
  • Create Loading Memo button (green) — opens the create flow
  • Memo cards — each shows:
    • Memo No., Date
    • Vehicle No. (OWNED / MARKET as applicable)
    • Route (From → To → Back To when set)
    • Action buttons: Download PDF, Print, Edit, Delete (Edit/Delete need trip permissions)
  • Pagination at the bottom with items-per-page (10, 20, 30, 50, 100)
  • Empty state when no memos match your filters
  • No vehicles in the picker — that vehicle has no pending unbilled LRs without a Loading Memo.
  • Cannot add more LRs on edit — edit only lets you remove trips from the memo; to add trips, delete and create again (or create a new memo for remaining LRs).
  • Memo No already exists — choose a unique number for this company and branch.
  • Notes missing on print — Notes are saved on the memo but are not printed on the PDF; use Remark if it must appear on the sheet.

Is Loading Memo the same as Collection Memo?
No. Loading Memo is per vehicle for loading/dispatch. Collection Memo is for a billing party’s collections.

Can a billed LR join a Loading Memo?
No. Only unbilled LRs are eligible.

Can one LR be on two Loading Memos?
No. Once linked, it must be unlinked (edit remove or delete memo) before joining another.
