You run a transport business.
You work hard every single day.
But your records are a complete mess.
Diesel expenses sit in one register. Toll slips live in a plastic folder. Driver advances are noted on a scrap of paper. Lorry receipts (LRs) pile up on the desk.
This system works when you have one or two trucks. You can keep everything in your head. When the business grows, it fails.
The real problem
Daily operations get overwhelming fast. You are not only moving goods. You are managing a hundred small details.
For one trip you often have to track:
- Freight charges
- Diesel costs
- Toll taxes
- RTO challans
- Driver bata (allowance)
- Loading and unloading charges
- Shortage deductions
Doing this for one truck is hard. Now imagine 5 trucks. Or 10. Or 50 trips a month. On paper, it becomes almost impossible.
How you log each rupee spent is covered in How to manage every trip’s expenses digitally. This guide is about whether that trip actually made profit.
Why does this happen?
You started small. A paper diary was easy. Then you bought another truck and added another register. Then you got more clients and added more files.
You never changed the core system. Now the paperwork is out of control. You are working for the files — not on the business.
How offices calculate profit today
Calculating trip profit
The owner opens the main register, finds the freight amount, checks the diesel slip file, checks the driver expense diary, uses a calculator to minus expenses, and hopes one slip was not missed.
Managing driver advances
To check a driver’s balance, the office calls around, opens the driver ledger, adds cash given, deducts expenses submitted, and argues over missing receipts.
Tracking pending payments
To see who owes money, someone flips through the LR book, highlights unpaid LRs, calls the broker or party, and writes a reminder on a wall calendar.
Checking truck maintenance
Service history lives in memory, or in a dusty pile of mechanic bills — until the truck breaks down on the road.

Problems with the manual method
- Too much time searching — hours go into finding one slip. That time could go into getting the next load.
- Calculation takes too long — month-end with a calculator is tiring. Tired math costs money.
- Money leaks easily — miss a diesel slip and you under-count cost. Forget to bill a party and you worked for free. Freight mistakes on the LR itself are covered in How to stop making costly LR mistakes.
- Zero visibility on profit — the bank balance is not the same as trip profit. You may not know which truck is actually making money.
A better digital method
Put freight, extra charges, deductions, and trip expenses on one trip record. Then profit is not a separate notebook.
Instant profit on the trip
Enter freight when you create the LR. Add trip expenses as they happen. On View LR you can read Trip Profit — Party Data vs Hired Truck Data (freight, charges, deductions, profit). See Edit a trip / LR.
Party outstanding in one place
Open Parties for total pending balance. Create the invoice from completed trips, then download or share on WhatsApp. For party-wise trip and invoice analytics, use Party Trips Report and Party Invoice Report.
Driver hisaab without the diary fight
Record the trip advance under payments. Settle ongoing dues in driver khata.
Truck P/L, not only one trip
The vehicles list shows revenue, expense, and profit/loss across trucks. Owned-truck costs that are not trip-wise (service, insurance) go on vehicle expenses.

Share a clean LR PDF instead of a desk photo — download, print, or share and How to share LRs on WhatsApp. For the wider office picture, see How to manage your transport business without drowning in paperwork and How to make your transport business paperless.
How to choose the right software
Do not buy a generic accounts app and hope it fits a transport office. Ask:
- Is it made for Indian transporters (LR / bilty, driver hisaab, party bills)?
- Can I use it on my phone as well as in the office?
- Is it simple enough for the accountant and munshi to learn?
- Does it show profit per trip from freight, charges, deductions, and expenses?
- Can I keep party outstanding and driver khata in the same system?
- Is the data in a cloud account — not only on one laptop?
If most answers are “no”, you still will not know which trip made money.
How Lorryto solves this
Lorryto is transport software built for Indian offices — LR-first, with money on the same trip.
Trip profitability
Create a trip / LR in minutes. Add expenses, charges, and deductions as they happen. Read Trip Profit on View LR without rebuilding the file on a calculator. Fast LR playbook: How to generate LRs in 2 minutes.
Digital LR and invoicing
Generate the LR on phone or web. Download or share the PDF. When the work is billable, create the invoice and share it on WhatsApp — a prepared message with the PDF link, not a photo of a handwritten bill.
Party and driver ledgers
See pending amounts on the parties list. Track cash given to drivers in driver khata. Diesel on pump credit belongs on the trip with a credit shop — details in the trip expenses guide.
Owned-truck costs
Service bills and month-wise truck costs for owned vehicles go on vehicle expenses so they do not hide inside one trip — and so the vehicles list P/L is clearer.
Getting started in 4 simple steps

Step 1 — Set up your account
Visit lorryto.com and sign up. Add company details and a bank account so invoices and vouchers stay clear. See getting started.
Step 2 — Add your assets
Add truck numbers and driver names. Enter opening figures where the product supports them (for example bank opening balance, credit shop opening, or a first driver khata entry). Keep old paper for history if you need it.
Step 3 — Add your parties
Create party (and broker) profiles you bill. Outstanding then lives on invoices and the parties list — not only in an LR book.
Step 4 — Create your first trip and read profit
Enter loading and unloading points and freight on a digital LR. Add fuel and toll as trip expenses. Open View LR and check Trip Profit.
FAQs
Is this for a small transport business with one truck?
Yes. Even one truck benefits if freight and expenses sit on the same trip. Sign up, add a few masters, and run new trips digitally the same day. See getting started.
Will I lose my old records?
No. Keep old registers for past history. You can enter opening balances on company bank and credit shops, and start driver dues in driver khata. Profit tracking starts from the trips you create in Lorryto.
How is trip profit different from my bank balance?
Bank balance is cash in hand or in the account. Trip profit is freight (and charges) minus deductions and trip costs on that LR. A party may still owe you even when the trip looks profitable. Use parties and invoices for what is pending.
Own truck vs hired truck — whose profit am I seeing?
View LR shows Party Data vs Hired Truck Data (freight, charges, deductions, profit). Market / hired vehicles use a supplier. Owned trucks also show fleet revenue, expense, and P/L on the vehicles list.
Trip expense vs vehicle expense — what goes where?
Diesel, toll, bata, and other costs for this LR go on trip expenses. Service, insurance, and month-wise costs for owned trucks go on vehicle expenses. Mixing them hides trip profit. Full walkthrough: How to manage every trip’s expenses digitally.
How do I see who owes money, and share a bill on WhatsApp?
Open Parties for outstanding. Create the invoice from trips, then Share on WhatsApp (PDF link). For a party ledger you can send as Excel/PDF, use Party Invoice Report.
How do I stop arguing with the driver over advances?
Put the trip advance on payments and keep running dues in driver khata. Office staff can enter everything — the driver app is optional.
Is my data only on one phone?
No. You work in a cloud Lorryto account, so the office is not one diary in one drawer. Use a strong password and give staff only the access they need. Start free when you are ready.
Final thought
Software is not only about replacing paper. It is about getting time back and stopping hidden leaks.
When every trip shows profit on the same screen as the LR, you can focus on the next load — not on hunting slips.
